Useful Information

Badges

  • Show Open Badges are compulsory for open days and will be available for collection from the Industry desk in the West Entrance on Friday, 23rd May from 12:00. If you require additional Badges, please speak with your Account Manager.
  • A lost badge fee of £120 + VAT applies.

Your Safety

  • Please ensure your team have received, read and understood the site rules - a copy can be downloaded here.
  • For your safety, please wear appropriate sturdy and comfortable foot wear, no open toe shoes will be permitted. 
  • If you access the halls before 1600hrs you will need to wear a Hi-Vis vest.  These can be purchased from the venue shop if you do not already own one.

 

  • Venue & General Information – Detailed information on the venue including the address and other specific details you may find useful. 
    • All parking for MCM Comic Con London must now be booked and paid for with the venue.  More details on this can be found here.
    • If you require access to the Lorry way to unload, or wish to book a delivery to your table please read the Logistics pages for more information and to help you prepare.
    • If your goods are hand carriable, we recommend that you park in the main car park and carry your goods to your table
    • During Breakdown, trolleys will not be permitted in the boulevard until the space is clear of Fans to ensure their safety, this generally takes 30 – 45 minutes after show close.  Full breakdown information will be shared with you closer to the show.
  • Age restrictions
    •  Due to employment law, you must be over 16 to work on the stand/table during the build-up, open and breakdown period of the event with an adult present at all times.
    • Exhibitors must be over 18 years of age and over to book a table.
  • Show Open Regulations
    • Exhibitors must ensure that their area is ready and the aisles are clear 15 minutes before the show opens.
    • Exhibitors must be onsite at least an hour before show opens. You will be denied access if you are not set up on the day the show opens.
  • Tables
    • You must not move your tables from their designated space under any circumstances.

Additional Chairs can be ordered with the sales team.

The walls will be built with 0.5m returns which may fall behind your table, so please bear this in mind when considering any decoration.

Do's

  • All exhibitors must provide tablecloths; bare tables are not permitted.
  • Low lying shelving or display units can only be placed on a backing table.
  • All trading must be done from behind your table.
  • You can provide your own grid walling shelving to be used in your area behind your table, however, you cannot go outside of the designated space assigned to your stand. The maximum height of any shelving or grid walling must be 2.5m.
  • You must have your own insurance and public liability insurance. You will not be covered on MCM insurance.

Don'ts

  • You cannot split your tables.

  • You cannot move your front table.

  • If you do not require your backing table, then this can be removed, you cannot give it to another retailer for them to use.

  • You cannot bring your own tables.

  • You cannot use cloths rails with a table booking, if you need to use them you will need to book a shell scheme stand.

  • You cannot place any shelving or grid walling at the side of your table.

  • No power is provided for retailer locations; however, this can be ordered separately if it is required and can be facilitated by Black Cat.

  • Your shelving, grid walling or display must not exceed 2.5m in height.

Space Only Stands

What Else Do I Need To Know

  • Please refer to the Space Only regulations below for full information.

If you have booked a 'Space Only' stand this means you will be allocated an empty space on the show floor and you are responsible for providing everything else.

Please refer to your Exhibition Agreement for your stand details including dimensions and number of corners. If you are unsure of what stand you have booked or would like to upgrade your stand please contact the Sales Team.

 

PLEASE NOTE: If your contract says Space Only, we understand you have tendered a stand contractor to design and build a stand. View the Exhibition Timetable for information on the days and times the stand must be built and dismantled within.

We understand that you may be building your own stand, or that you may have tendered a stand contractor to design and build a stand for you. The information in this manual is incredibly important, so please pass this on to contractors who are working with you. If you have any questions, please contact us at [email protected].

Space Only Exhibitor Responsibilities

Exhibitors are responsible for their own stand design and construction. No stand fitting or carpet is provided by MCM for Space Only stands.

It is your responsibility to examine the area and site allocated to you, in order to avoid costly adjustments to stand structures. Where possible the organiser’s will provide on request detailed stand plots indicating the position of service ducts. Minor obstructions or height restrictions cannot always be indicated on the plans of the Exhibition.

Stand build regulations contained within this section must be observed by you when planning your stand design and layout. In order to achieve a smooth run up to the Exhibition, all exhibitors should provide us with details of their selected contractors. This will enable us to supply them additional information they may require.

We will be pleased to offer advice and guidance where required.

Ops Squad

Space Only stands are required to submit certain documents in advance of build which is required no later than 18 April 2025.

HOW TO SUBMIT STAND PLANS

Our stand plan checking process has changed and we are now partnering with Ops Squad Stand Plan Team to complete our stand plan checks for MCM Comic Con London.

Ops Squad Stand Plan Team will be looking after the space only stand plan sign off process in its entirety for the event, including managing all queries you may have about your stand designs. In order to sign off your stand design we require the following information from you or your contractor to be submitted at [email protected];

  • Fully dimensional stand plans with elevations
  • Rigging requirements – where relevant
  • Structural calculations – if required, see Complex Structures
  • Use of lifting equipment/need for complex lifts
  • Risk assessment for the build and breakdown periods
  • Method statement including work phases and times
  • Public liability insurance
  • Construction & Dismantle Phase Plan

Once they have all of this information they will review and come back to you with any questions and then issue you with a Permission to Build Certificate.

You will not be able to commence build without a Permission to Build Certificate. Please do not hesitate to contact them with any queries as they will make the process as easy as possible for you.

Stand Plan Submissions

As a Space Only stand, you are required to submit certain documents in advance of build which are required no later than 18 April 2025.

Stand design submissions must include plans, elevations showing heights, visuals, risk assessment, method statement and construction and dismantle phase plan. Additional information is also required depending on the type of stand you are building. The summary table below shows which documents you need to submit based on the stand you are building;
