Logistics

The Organisers & Venue are doing everything they can to ensure that build up and breakdown runs as smoothly as possible for everyone onsite, but all Exhibitors, Contractors and Suppliers also have a responsibility for this. Below are some ideas that you should be considering:

Advanced Warehousing

Want to avoid the traffic queues and potentially save money? Then why not send your goods/stand building materials to the Official Logistics Provider two weeks before the show, who will then deliver them to your stand in time for when you arrive onsite. See section below for more details.

Delay Delivery of Furniture & Dressing Items

You don’t need your furniture on the first day of build so be considerate of others and plan your deliveries accordingly.  To avoid the risk of furniture and dressing items being turned away during the first few days of build, why not arrange for these items to be stored with the Official Logistics Provider until you are ready for them?  

Couriers

No one enjoys getting stuck in exhibition traffic and it is very easy for courier drivers to refuse to deliver your items.  Therefore contact the Official Logistics Provider who would be more than happy to manage this for you instead.  Give them a call to see how they can help ensure a smoother onsite experience for you and your team. 

Deliveries from the EU

If Deliveries from the EU will have an impact on you delivering items to and from the exhibition then please click here for advice and guidance from the Official Logistics Provider who are more than happy to help with any further queries.

By preparing in advance and shipping early you are reducing the risk of delays or even your goods not turning up on time.  Don’t risk it, act now and book Advanced Warehousing.

The organisers can not take responsibility for anyone’s deliveries/shipments.  They are also unable to provide EORI numbers.  Do make sure that you check the guidance and speak to the Official Logistics Provider.

Traffic: Loading & Unloading

There is a new Vehicle Booking System in place at Excel where all vehicles needing access to the loading bays during build up and breakdown must pre-book. Please click here for further information and click here to book now.

Vehicles are not permitted in the halls under any circumstances.

Deliveries

This section contains information on how to get items delivered to Excel for MCM London May.

All deliveries to the show, must be addressed to:

PLEASE NOTE that the Venue nor the show Organisers will accept or sign for any deliveries. Please make sure that there is someone present on your stand to accept deliveries. Alternatively, you can contact our Official Logistic Provider, who can accept your deliveries and deliver them to your stand once you arrive onsite at an additional charge.

For the Official Contractor order form a copy can be downloaded by via the Exhibitor Portal.

If you are sending deliveries through another courier company please ensure they have the correct delivery details on the order as listed above. Direct deliveries must not arrive at the venue before 21st May 2025 - they will be returned to your local logistics/carriers depot.

If there is no one at your stand to receive your delivery, and the delivery is accepted at the Venue then please be aware that there may be an additional handling fee from.

Overseas and Non-EU Exhibitors should be aware of the custom procedures relating to duty and VAT payments. By using ILS, they will ensure your packages arrive safely at MCM Comic Con and the correct customs procedures are followed. Since Brexit, various laws have changed on the importing of goods to the UK. You can find more information on our Operations page or contact Ian Hickman at ILS for more information.

 

If it is necessary for you to have a delivery made during the show open period, please ensure that this is made an hour before the show opens, click here to view opening hours.

Trolleys are not permitted on the show floor once the show is open and therefore any deliveries will have to be hand carried.

We recommend using our official freight contractor ILS to avoid delays and risk of courier not wanting to wait. Another benefit if you are sending from overseas, they can assist with any customs clearance. Refer to the Lifting and Storage section for more details.

Lifting (forklifts, cranes, etc.)

Only the Official Logistics Provider may operate lifting equipment inside the hall and around the perimeter of the venue. Under no circumstances are any other lifting contractors permitted to use forklifts inside of the halls or in the loading areas.

To order a forklift or other lifting equipment for unloading or loading for stand materials and exhibits please contact the Official Logistics Provider to discuss your lifting requirements and to request a quote for their services.  We recommend that you make contact at the earliest opportunity with details of large or heavy exhibits as these may need to be positioned in the early part of build-up and may require special handling.

Contractors/exhibitors are not allowed to operate cherry pickers and scissor lifts in the halls and loading areas so please plan for this accordingly.

Stand Restocking

Access to the North Lorry way before show open on 23rd – 25th May will be extremely limited as the Lorry way will be used for Fan Access to the queue halls, and we strongly recommend that all restocking for the North Halls takes place during the time allocated each evening or via the car park and the lifts to the boulevard on the opening morning. If you have a specific requirement that you need assistance with, please contact the Operations Team.

Storage

If you require storage and need a place to store empty cartons, boxes, literature etc. please contact ILS who will collect these from your stand, store them and deliver them back to you during breakdown.

Should you decide to ship using your own courier or Transport Company and are not able to be present to sign for your goods, ILS can accept receipt and sign for the goods on your behalf for a fee. This service will need to be pre booked with ILS in advance of shipping to the venue to obtain courier-receiving instructions.

Do not store excess stock, literature or packing cases around or behind your stand.

Whilst every precaution is taken to ensure the safety and security of the storage areas, we cannot accept any responsibility whatsoever for any, loss or damage or any consequential losses which may befall on your property.

Removal of items during breakdown

You must not commence removing items until the show is closed and all visitors have departed. Trolleys will not be allowed on the show floor until after this time. If you have arranged transport services through ILS they will, if required, arrange to return any empty packaging materials you have stored with them back to your stand and then collect your goods once they are packaged, labelled and ready to go.

You must not leave any goods unattended on your stand (e.g. Laptops, Plasma screens). If you have arranged for your own transport or courier company to collect items, please ensure that you are on your stand to hand them over. The Organisers cannot be held responsible for any loss or damage to your goods.

All portable and valuable items must be removed as soon as possible after the exhibition, in any case by 1700 on Sunday, 25th May.

All materials, packaging and waste must be removed by 2200 on Sunday, 25th May. Any items left after this time will be treated as rubbish and you will be charged for the disposal.

Insurance

The Exhibitor is responsible to ensure that they have adequate insurance for their goods:

1. Whilst in transit to and from the exhibition

2. Whilst at venue and/or in storage and also

3. Whilst in transit to other destinations.

ILS can provide a quotation to insure your goods for you but this is on a request basis only.
